Estima8 (“Estima8,” “we,” “us,” or “our”) respects your privacy.

This Privacy Policy describes how Estima8 collects, uses, discloses, retains, and protects personal information when you visit estima8.ai, request information or access, communicate with us, use the Estima8 AI estimating agent, interact with an Estima8-powered widget, use an Estima8 account, or otherwise interact with our services (collectively, the “Services”).

It also describes privacy choices and rights that may be available under applicable law.

1. Scope

This Privacy Policy applies to personal information that Estima8 processes in connection with its Services.

Estima8 also provides technology to print businesses and other business customers.

When a business customer uses Estima8 to process personal information on its behalf, that customer may determine the purposes for which the information is processed.

For example, when an Estima8 agent is used through a participating print provider, information submitted to the agent may be provided to that print provider so it can prepare an estimate, communicate with the user, process a request, or fulfill an order.

In those circumstances, the participating print provider’s own privacy policy may also apply.

2. Personal Information We Collect

Depending on how you interact with Estima8, we may collect the following categories of information.

Contact and Identification Information

This may include:

  • name;
  • business or company name;
  • email address;
  • telephone number;
  • shop or business location; and
  • other contact information voluntarily provided to us.

Business Information

When requesting access to or using Estima8, we may collect information such as:

  • print shop or organization;
  • role or business relationship;
  • estimating or print-management platform;
  • approximate quote or estimate volume;
  • workflow information; and
  • other information provided about your business.

Print Job and Estimate Information

Information may include:

  • product or print type;
  • quantity;
  • dimensions;
  • colors;
  • materials or substrates;
  • printing requirements;
  • finishing requirements;
  • turnaround requirements;
  • shipping or delivery requirements;
  • pricing or estimate information; and
  • other job specifications.

AI Conversation Information

We may process prompts, messages, responses, follow-up questions, instructions, and other content exchanged with the Estima8 AI agent.

Uploaded Files and Content

Users may upload or provide:

  • artwork;
  • logos;
  • images;
  • PDFs;
  • documents;
  • print-ready files;
  • design files;
  • job specifications; and
  • other materials required for an estimate, proof, or related workflow.

Account Information

For registered users, we may process:

  • account identifiers;
  • username or email;
  • authentication-related information;
  • user role;
  • permissions;
  • preferences; and
  • account settings.

Passwords should be maintained using appropriate technical safeguards and should not be stored by Estima8 in readable plain text.

Communications

We may retain communications with Estima8, including access requests, support requests, customer-service communications, feedback, and other inquiries.

Payment and Transaction Information

Where Estima8 offers paid Services, we may collect transaction, subscription, invoice, and billing-related information.

Payment-card information may be processed directly by an authorized payment processor rather than stored by Estima8.

Information Collected Automatically

When you use Estima8, we and authorized service providers may automatically receive technical or usage information including:

  • IP address;
  • browser and device type;
  • operating system;
  • pages and features accessed;
  • timestamps;
  • referring URLs;
  • session information;
  • approximate location inferred from IP address;
  • security information;
  • diagnostic information;
  • error logs; and
  • usage or interaction information.

3. How We Collect Information

We may obtain information:

  • directly from you;
  • from your organization;
  • through Estima8 AI conversations and forms;
  • from files you upload;
  • through Estima8 integrations;
  • from participating print providers;
  • from authorized third-party platforms;
  • through cookies and similar technologies; and
  • automatically through operation of the Services.

4. How Estima8 Uses Personal Information

Estima8 may process personal information to:

  • provide and operate the Services;
  • understand and structure print requests;
  • generate or assist with estimates;
  • generate or assist with proofs;
  • ask questions needed to complete job specifications;
  • transfer authorized information to print providers;
  • perform requested software integrations;
  • integrate with print-management or estimating platforms;
  • maintain user accounts;
  • authenticate users;
  • provide support;
  • respond to inquiries and access requests;
  • communicate about the Services;
  • detect and prevent fraud, misuse, and unauthorized access;
  • enforce usage and security restrictions;
  • maintain the security and reliability of the Services;
  • troubleshoot technical issues;
  • monitor system performance;
  • analyze product usage;
  • improve functionality and user experience;
  • maintain business records;
  • comply with legal requirements;
  • enforce agreements; and
  • protect Estima8, its customers, users, and others.

Estima8 may also create and use aggregated or de-identified information for legitimate business, analytical, security, research, and product-development purposes where the information cannot reasonably be used to identify an individual.

5. Artificial Intelligence Processing

Estima8 uses artificial intelligence and automated technologies as part of its estimating and workflow Services.

Information submitted through the Services may therefore be processed by Estima8 systems and authorized technology providers to interpret print requirements, generate responses, structure job information, provide estimates, create or assist with proofs, and perform related functions.

Users should not provide sensitive personal information that is unnecessary for the print or estimating request.

Estima8 may use service telemetry, user feedback, and aggregated or de-identified information to evaluate and improve its systems.

Estima8 does not use identifiable Customer Content to train a generalized public AI model for unrelated purposes unless appropriate authorization has been obtained.

6. How We Disclose Personal Information

Estima8 may disclose personal information in the circumstances described below.

Print Providers and Business Customers

When Estima8 is used in connection with a participating print provider, relevant information may be provided to that provider to process an estimate or customer request.

This may include contact information, print specifications, conversation information, uploaded files, estimate information, and related job information.

Service Providers

Estima8 may engage companies that provide services including:

  • cloud hosting;
  • data storage;
  • artificial-intelligence infrastructure;
  • database services;
  • authentication;
  • cybersecurity;
  • monitoring;
  • analytics;
  • communications;
  • customer support;
  • payment processing; and
  • software integrations.

These providers may process information on Estima8’s behalf to perform their contracted services.

Authorized Integrations

When a business authorizes Estima8 to connect with another platform, relevant information may be transmitted between Estima8 and that platform as necessary to provide the requested integration.

Legal and Safety Disclosures

Estima8 may disclose information where reasonably necessary to:

  • comply with applicable law or legal process;
  • respond to a lawful government request;
  • protect against fraud or security threats;
  • investigate suspected violations;
  • enforce legal agreements; or
  • protect the rights, property, or safety of Estima8, its customers, users, or others.

Corporate Transactions

Personal information may be transferred or disclosed in connection with a merger, acquisition, financing, restructuring, bankruptcy, sale of assets, or similar corporate transaction, subject to applicable law.

7. Sale, Sharing, and Targeted Advertising

Estima8 does not sell personal information for monetary consideration.

Some U.S. privacy laws define “sale” or “sharing” more broadly than an exchange for money.

Estima8 may use analytics, security, infrastructure, and other service providers to operate and understand the Services.

If Estima8 engages in activity that constitutes a “sale,” “sharing,” targeted advertising, or cross-context behavioral advertising under an applicable law, Estima8 will provide any legally required opt-out mechanisms.

Where required by applicable law, Estima8 will process recognized browser-based opt-out preference signals in accordance with applicable requirements.

8. Cookies and Similar Technologies

Estima8 and its service providers may use cookies, local storage, pixels, server logs, or similar technologies to:

  • operate the Services;
  • authenticate users;
  • maintain sessions;
  • remember preferences;
  • protect security;
  • understand website usage;
  • diagnose technical problems; and
  • improve performance.

Where legally required, Estima8 will provide appropriate choices concerning non-essential cookies or similar technologies.

Browser settings may also allow users to limit cookies, although doing so may affect functionality.

9. Data Retention

Estima8 retains personal information only for as long as reasonably necessary for the purposes for which it was collected and for legitimate operational, security, contractual, accounting, dispute-resolution, and legal purposes.

The applicable retention period depends on factors including:

  • the nature of the information;
  • the purpose for which it was collected;
  • the duration of the customer relationship;
  • customer instructions where Estima8 acts on behalf of a business customer;
  • security requirements;
  • legal or regulatory requirements;
  • contractual requirements; and
  • the need to establish, exercise, or defend legal rights.

When information is no longer reasonably necessary, Estima8 may delete, anonymize, de-identify, or securely dispose of it in accordance with applicable policies and law.

Where a specific law requires a more detailed retention disclosure at the point of collection, Estima8 may provide that information in an applicable Notice at Collection.

10. Information Security

Estima8 maintains administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, acquisition, destruction, loss, misuse, alteration, or disclosure.

Safeguards may include access controls, authentication, encryption where appropriate, monitoring, infrastructure security, logging, role-based permissions, and other technical or organizational measures.

No information system or transmission over the internet can be guaranteed to be completely secure.

Users are responsible for protecting their credentials and should promptly report suspected unauthorized access.

11. Privacy Rights

Depending on your state of residence, Estima8’s relationship with you, and applicable law, you may have rights concerning your personal information.

These may include rights to:

  • access certain personal information;
  • obtain information about categories of personal information collected;
  • request correction of inaccurate information;
  • request deletion, subject to applicable exceptions;
  • obtain a portable copy of certain information;
  • opt out of certain sales or sharing;
  • opt out of certain targeted advertising;
  • limit certain uses or disclosures of sensitive personal information where applicable;
  • appeal certain privacy-request decisions where applicable; and
  • exercise privacy rights without unlawful discrimination.

Availability of a particular right depends on applicable law.

Estima8 will not represent that a statutory right applies where the relevant law does not apply to Estima8 or the applicable processing activity.

Estima8 may take reasonable steps to verify your identity before fulfilling certain requests.

Where permitted by law, an authorized agent may make a request on behalf of another person, subject to reasonable verification of authority.

If Estima8 processes the relevant personal information solely on behalf of a business customer, Estima8 may direct the request to that business or assist that business as appropriate.

13. California Privacy Information

If the California Consumer Privacy Act, as amended (“CCPA”), applies to Estima8’s processing of your personal information, California residents may have rights provided under the CCPA, including applicable rights to know, access, correct, and delete certain personal information and to opt out of qualifying sale or sharing.

California residents may also have applicable rights concerning certain sensitive personal information and the right not to receive discriminatory treatment for exercising applicable privacy rights.

Categories of personal information Estima8 may collect include:

  • identifiers;
  • customer and commercial information;
  • professional or business information;
  • internet or electronic network activity;
  • communications;
  • uploaded content;
  • account information; and
  • information generated from interactions with the Services.

The categories of parties to whom information may be disclosed are also described in this Privacy Policy.

Estima8 does not sell personal information for monetary consideration.

Where Estima8 is legally required to offer a right to opt out of sale or sharing, it will provide an appropriate mechanism for doing so.

14. Notice at Collection

Where applicable law requires a Notice at Collection, Estima8 will provide a notice at or before the applicable collection of personal information.

Such notice may identify:

  • the categories of information collected;
  • the purposes for which those categories will be used;
  • applicable retention information;
  • whether information is sold or shared as those terms are defined by applicable law; and
  • a link to this Privacy Policy and applicable consumer controls.

15. Business Customer Data

Where Estima8 processes personal information on behalf of a print provider or other business customer, the respective responsibilities of Estima8 and that customer may also be governed by a commercial agreement or data-processing agreement.

Depending on the circumstances and applicable law, the business customer may act as the business, controller, or other party determining the purposes of processing, while Estima8 may act as a service provider, processor, or similar contracted provider.

Nothing in this Privacy Policy changes roles established by applicable law or a binding written agreement.

16. Marketing Communications

If you request information, request access, request a demonstration, or otherwise provide business contact information, Estima8 may contact you concerning your request and the Services.

Where permitted by law, Estima8 may also send promotional or marketing emails.

Marketing emails will provide an appropriate means to unsubscribe where required.

Unsubscribing from marketing communications does not prevent Estima8 from sending account, transactional, security, support, or other non-promotional communications.

17. Children’s Privacy

The Estima8 Services are business-oriented and are not directed to children under 13.

Estima8 does not knowingly seek to collect personal information directly from children under 13 through the Services.

If Estima8 learns that personal information has been collected from a child under 13 in circumstances where parental authorization or another legal requirement applies, Estima8 will take appropriate steps consistent with applicable law.

18. Third-Party Websites and Platforms

The Services may contain links to or integrate with third-party websites, services, and applications.

Independent third parties control their own privacy practices.

This Privacy Policy does not govern information that a user provides directly to an independent third party.

Users should review the applicable third party’s privacy policy before providing information to that service.

19. International Access

Estima8 is a United States-based service.

Information may be processed or stored in the United States and in other jurisdictions in which Estima8’s authorized service providers operate.

Users accessing the Services from outside the United States should understand that data-protection laws may differ between jurisdictions.

Where applicable law requires specific safeguards for international transfers, Estima8 will implement legally appropriate measures.

20. Changes to This Privacy Policy

Estima8 may update this Privacy Policy periodically because of changes to the Services, technology, business operations, or legal requirements.

The “Last Updated” date will indicate when the Policy was most recently revised.

Where legally required or appropriate because of a material change in privacy practices, Estima8 will provide additional notice.
